The special education section of a student's cumulative file consists of...


1. A red file folder. You will need to write each respective student's name on the top of the folder.

2. Glued onto the front of the folder is a paper that reads 'Confidential File Contents'. As you compile or transfer the information into each students special education section of their cum file, you will need to record onto this paper what is actually in each student's file. This will initially take some time but will save time in the future as you and others access the file. For now, the date listed on the 'Confidential File Contents' will be the date on the assessment record or the date on previous IPP's, anecdotals, etc. IN THE FUTURE, the date will be the date the information is actually put into the student's special education section of the cum file.

3. You will need to transfer the information from your special education spiral notebooks into this file. (EA's can do this for you if that would be helpful. If they do this, please be sure to do the first two or three files together. We want to be sure that we are all consistent in this process.) The file will then be kept in the office as part of the student's cum file. Please put this file in the last pocket of the cum file. (EA's can file these as well, just be sure to walk them through the process.) Due to our limited office filing space, Preschool and Kindergarten files will be kept in a locked area in the Team Leader's classroom.

4. There are five sections that go into the special education section of the cumulative file. They are color-coded. Be sure to transfer information into the correct section. Please put the most recent information on the top. If we are all on the same page with this it will make finding information far easier. These sections include...

Diagnostic Information & Assessments (including but not limited to Medical, Psychological, OT/PT, Speech, Vision, Hearing, etc.) - RED
School Assessments (including but not limited to Report Card, GMRT (Gates), K-TEA, T-BIT, etc.) - PURPLE
Individualized Program Plan (IPP) - BLUE
School Anecdotal Records - GREEN
Other - ORANGE

Once again, the date listed on the 'Confidential File Contents' will be the date on the assessment record or the date on the previous IPP's, anecdotals, etc. IN THE FUTURE, the date will be the date the information is actually put into the student's special education section of the cum file.

5. Please note that due to each student's respective disability some students special education section of their cum file may be larger than others. Please see me if you need some help with this.

6. Remember that you should make a copy of the IPP for use in your classroom. You can also make a copy of a previous IPP if that would be helpful to you. Don't forget to make yourself a copy of the 'recommendations section' of the testing that Conrad does or of recommendations from other professionals. That information is invaluable as you create your IPP's. You should then shred THESE COPIES that you made at the end of the school year. Original documents should always be kept in each respective student's cum file (in the office).
